1. About this Cookie Policy
This Cookie Policy explains how Academic Intelligence Ltd, referred to as we, us or our, uses cookies and similar technologies on checkitquick.academicintelligence.co.uk, referred to as the Website or Service.
The Service is used by schools, academy trusts, colleges and other educational organisations to help parents, guardians, carers and authorised users check, confirm, submit or update information held by the school about parents and pupils.
The Service may connect with school systems, including iSAMS and MySchoolPortal single sign-on, where configured by the school. Where configured, school staff may sign in using Google; the Google sign-in flow may involve cookies set by Google during authentication.
This Cookie Policy should be read together with our:
- a. Privacy Policy;
- b. Terms of Service;
- c. Data Processing Agreement;
- d. Security Overview; and
- e. Data Retention & Deletion Policy.

- c. maintain a secure session;
- d. remember choices you have made;
- e. protect forms and accounts;
- f. complete login or single sign-on processes; and
- g. improve security and reliability.
Similar technologies may include local storage, session storage, pixels, tags, device identifiers or other technologies that store or access information on your device.
In this Cookie Policy, when we refer to cookies, we also mean similar technologies where applicable.
3. Do We Use Cookies?

These may include cookies used for:

- j. recording acknowledgement of the on-screen cookie notice (using browser
localStorage, not a non-essential tracking cookie).
We do not currently use advertising cookies, marketing cookies, social media tracking cookies, heatmap cookies or non-essential analytics cookies.
4. Essential Cookies
Essential cookies are cookies that are needed for the Service to work properly and securely.
These cookies may be used to:

- i. provide the online service requested by the user.
We use essential cookies because they are necessary to provide the Service.
Essential cookies do not require consent where they are strictly necessary to provide a service requested by the user. However, we still explain them in this Cookie Policy for transparency. The ICO recognises a strictly necessary exception for cookies that are essential to provide an online service requested by the user.

6. Authentication and Session Cookies
The Service may use authentication and session cookies to keep authorised users signed in and to maintain their current session.
These cookies help ensure that:
- a. the correct user remains logged in;
- b. a school administrator can securely manage school settings;
- c. a parent, guardian, carer or authorised user can complete a workflow;
- d. the Service does not lose progress during ordinary use; and
- e. access is restricted to authorised users.
Without these cookies, users may not be able to log in or use the Service securely.
7. MySchoolPortal Single Sign-On Cookies
Where a school has configured MySchoolPortal single sign-on, the Service may use temporary cookies to support the login process.
These cookies may help:
- a. start the single sign-on process;
- b. protect the redirect between systems;
- c. prevent login tampering;
- d. validate authentication responses; and
- e. complete the secure sign-in process.
These cookies are normally short-lived and are used only to support secure authentication.
8. Security and Anti-Forgery Cookies
The Service may use security cookies to protect accounts, forms and sessions.
These cookies may help prevent:
- a. cross-site request forgery;
- b. unauthorised form submissions;
- c. session tampering;
- d. login abuse;
- e. suspicious activity; and
- f. misuse of the Service.
These cookies are essential because the Service handles school, parent, guardian, carer and pupil information.
9. Analytics Cookies
We do not currently use non-essential analytics cookies.
This means we do not currently use tools such as:
- a. Google Analytics;
- b. Microsoft Clarity;
- c. Hotjar;
- d. Meta Pixel;
- e. LinkedIn Insight Tag;
- f. advertising pixels; or
- g. behavioural tracking tools.
If we introduce non-essential analytics cookies in the future, we will update this Cookie Policy and, where required, ask for your consent before setting those cookies.
10. Advertising and Marketing Cookies
We do not use advertising or marketing cookies on the Service.
We do not use cookies to:
- a. show targeted advertising;
- b. track users across unrelated websites;
- c. build advertising profiles;
- d. sell browsing data;
- e. run retargeting campaigns; or
- f. monitor parents, pupils or school users for advertising purposes.
If this changes in the future, we will update this Cookie Policy and ask for consent where required.
11. Third-Party Cookies
The Service may interact with third-party systems, including iSAMS and MySchoolPortal.
When you are redirected to or interact with a third-party website or service, that third party may set its own cookies. We do not control cookies set by third-party websites or services.
Third-party services may include:
- a. MySchoolPortal;

- c. Google (where Google sign-in is enabled for staff authentication);
- d. Stripe (for example when you complete payment or billing flows on Stripe-hosted pages);
- e. hosting or infrastructure providers;
- f. email or support providers, if used; and
- g. security or monitoring providers, if used.
You should read the cookie and privacy policies of those third-party services for more information about how they use cookies.
12. Local Storage and Similar Technologies
The Service may use browser storage technologies such as local storage or session storage where necessary for security, functionality or session management.
These technologies may be used to:
- a. maintain temporary workflow state;
- b. support secure login;
- c. remember essential preferences;
- d. improve service reliability; or
- e. support security checks.
We may use localStorage to remember that you have acknowledged the on-screen cookie notice, so we do not show it on every visit. This is not used for advertising or behavioural tracking.
We do not use local storage or similar technologies for advertising or behavioural tracking.
The same transparency and consent principles that apply to cookies can also apply to similar technologies that store or access information on a user’s device. The ICO says the cookie rules apply to cookies and similar technologies.
13. Consent
We do not currently ask for cookie consent because we only use cookies that are necessary for the Service to work securely.
If we introduce non-essential cookies in the future, we will ask for consent before setting them, unless another legal exception applies.
Non-essential cookies may include:
- a. analytics cookies;
- b. advertising cookies;
- c. social media tracking cookies;
- d. heatmap cookies;
- e. behavioural tracking cookies; or

If you block or delete essential cookies, the Service may not work properly. You may be unable to log in, complete single sign-on, submit forms or maintain a secure session.
To manage cookies, check the help section of your browser.
Common browser settings are available in:
- a. Google Chrome;
- b. Microsoft Edge;
- c. Mozilla Firefox;

- c. authentication status;
- d. IP address;
- e. device or browser information; and
- f. security logs linked to a user session.
Where cookies involve personal data, our use of that data is explained in our Privacy Policy.
When the Service processes parent, pupil or school personal data on behalf of a school, the school is normally the controller and we are normally the processor.
16. Children and School Users
The Service may be used in a school context and may involve information relating to pupils.
We do not use cookies to advertise to children, track pupils across websites or build behavioural advertising profiles.
Cookies used by the Service are intended to support secure login, session management, SSO, fraud prevention, anti-forgery protection and reliable operation.
17. Changes to This Cookie Policy
We may update this Cookie Policy from time to time.
We may update it if:
- a. we change the cookies we use;
- b. we introduce analytics or optional cookies;
- c. we change our authentication or SSO process;
- d. we change service providers;
- e. legal requirements change; or
